Patient Self Check-In

KioHealth Patient Self Check-In Solution provides a wide range of functionality including completion of patient registration, insurance eligibility verification, demographic validation, electronically sign consent form completion and much more.  All KioHealth solutions can integrate with the medical facility’s HIS system, using HL7, XML, web service and other standard data exchange protocols.  It’s through integration with the back-end scheduling and financial systems that real-time appointment scheduling, patient demographic validation and insurance eligibility verification can occur.

The KioHealth Patient Self Check-In Solution can be a simple queuing application, or a full-blown, fully integrated solution that includes the following functionality options:

Check-In

KioHealth Check-In Solution
helps automate patient flow, streamline office operations, reduce overall costs, improve accuracy, manage cash flow, and more, all while protecting the patient’s personal information and physical well-being.  In addition to these benefits, utilizing KioHealth Patient Self Check-in Solution also increases patient satisfaction and reduces paperwork. 

The Self Check-in Solution includes patient registration at the medical facility or clinic, and can also include web-based, online pre-registration- providing additional automation options for the patient and organization.  Self Check-in can include the following functionality:

  • Insurance Data Collection and Co-Payment Collection: Patients can scan insurance cards or other identification documents (driver’s licenses, ID Cards, smart cards, etc.) and the system can obtain real-time insurance data collection and applicable co-payment credit/debit card information
  • Electronically Sign Consent and Insurance Forms:  Automatically keep an electronic record and/or image of any necessary signature forms- reducing paperwork and streamlining the check-in process
  • Health History and Patient Record Form Completion: A variety of medical history forms and other health questionnaires can be completed via the self-service solution
  • Integration with HIS system:  From integration with the financial, scheduling and other systems, the KioHealth Patient Self Check-In Solution can interface with any number of touch points to streamline operations and gain technological efficiencies
  • Provide Directions to Appointments:  Once a patient has confirmed check-in (and completed insurance verification, demographic validation and paid the co-payment, as applicable) the system can easily present the KioHealth WayFinder Solution and provide animated and text directions to the appointment destination

Appointment Scheduling

Eliminate mix-ups, errors and wasted staff time managing the appointment calendar with the KioHealth AS Module.  With self-service appointment scheduling from the kiosk or pre-registration via the online Patient Portal, patients locate the open timeslots that work best for them.  This saves considerable time and reduces the occurrence of missed appointments.  Select from different clinics, practitioners or services, and even print out an appointment reminder for added convenience.  The KioHealth AS Module provides the following benefits:

  • Optimized Staff Efficiencies:  Allowing patients to view open appointment times and schedule their own appointments reduces phone calls to schedule/reschedule and the time it takes for staffers to view doctor’s schedules.  This allows staff to focus on other, more important operational matters and provide greater patient care
  • Reduce Missed Appointments:  The automatic  appointment reminder sends an email to the patient to remind them of the appointment date/time   

Payment Collections

Use the KioHealth PC Module to collect payments and allow staff to focus on providing better patient care.  Automated payment collection improves cash flow and collections.  Payment history can be reviewed from the kiosk system or via the internet – allowing the patient to track his/her payments from anywhere in the world.  Customers can be issued receipts at time of payment or be emailed a receipt for their records.   The KioHealth PC Module can either capture credit/debit card information and pass that through to a payment processing vendor, or complete the full payment processing transaction- from authentication to verification of funds.  The KioHealth PC Module provides the following benefits:

  • Decrease Accounts Receivable:  By capturing payments at Point of Registration (via integration with Accounts Receivable applications), outstanding payments are dramatically reduced and revnue captured immediately
  • Save Time & Resources:  Office staff does not need to hassle with the time consuming and expensive mail billing process

Demographic Validation

It is critical that the information that goes into the hospital information and practice management system is timely and accurate.  Not only is it important from a quality of care perspective, but it is also very costly to have outdated or invalid patient data.  The KioHealth DV Module allows you to ensure your information on file is accurate and up-to-date by allowing the patient to quickly and easily review their key data and make up-to-date changes.  The KioHealth DV Module provides the following benefits:

  • Rejuvenate Revenue Cycles:  Using up-to-date, patient-validated information (address, phone, etc.) improves the ability to collect outstanding invoices and process claims more quickly and effectively

Electronic Consent

Collect electronic signatures on consent and HIPAA forms and automatically connect them to the hospital information or practice management system.  The KioHealth EC Module presents the patient with all necessary forms, directly on the kiosk screen, and allows the patient to sign through an electronic signature pad.  Forms can be presented to the patient in the language of their choice.  The KioHealth EC Module provides the following benefits:

  • Assists in HIPAA and Insurance Compliance: Storing the electronic signature image with the patient record allows for easy and quick access in the event compliance records are needed
  • Eliminates Consent Paperwork: Staff no longer needs to file, scan or otherwise store the paper signed consent form- as everything is electronic and can be attached to the Patient Health Record.  This saves time and money in filing and maintaining paper-based files

Patient Queue

The KioHealth PQ Module sets patients in a queue based upon their schedule appointment, check-in time, or other business rule.  The patient record includes complete demographics, insurance and all transactional data required.  Pop-up notifications on the administrative screen alert staff about special patient needs as they check-in.  Additionally, the Administrative ToolBox tracks patient wait times and staff workflow.  Of course, the KioHealth PQ Module easily integrates with the HIS system, and provides the following benefits:

  • Streamline Patient Flow:  The system immediately notifies the office once a patient has checked-in, allowing them to queue the patient appropriately based on doctor’s real-time schedule
